Effective September 5, 2026.

These terms govern your use of Keysoft Chief of Staff, provided by Keysoft LLC, a Georgia limited liability company ("Keysoft", "we"). By using the application you agree to them. If you are agreeing on behalf of a firm, you confirm you have authority to bind it.

What the service does

Keysoft Chief of Staff runs on a schedule you configure. It reads data from systems you connect, prepares draft communications and tasks, and writes activity records back to your applicant tracking system.

Your accounts and connections

You are responsible for the accounts you connect and for maintaining their security. You confirm you are entitled to grant us access to the data in those accounts, including any data about third parties, and that doing so does not breach your own agreements or applicable law.

You can disconnect any account at any time. Doing so stops processing for that account.

Acceptable use

You agree not to use the service to send unlawful, deceptive, or harassing communications, to violate the terms of any connected platform, or to process data you have no lawful basis to process. You will not attempt to circumvent the review step that keeps a person in control of outbound messages.

Your data

You retain ownership of your data. We process it as described in the privacy policy, which forms part of these terms. Your applicant tracking system remains your system of record, and data written there stays under your control if you stop using the service.

Draft quality and your judgement

The application uses language models to generate suggested text. Output can be inaccurate or inappropriate for the situation. Every draft is a suggestion, not advice, and the review step exists because your judgement is required. We make no warranty that drafts will be accurate, suitable, or effective.

Fees

Access is provided on a subscription basis at the rates agreed when you sign up. Fees are billed in advance and are non-refundable except where required by law. We will give at least 30 days' notice before a price change takes effect.

Availability

We aim to keep the service running but do not guarantee uninterrupted availability. Scheduled runs may be delayed or skipped because of maintenance, third-party outages, or rate limits imposed by connected platforms.

Third-party services

The service connects to platforms operated by others, including Google and your applicant tracking system. We are not responsible for those platforms, and your use of them remains governed by your agreements with them. If a platform changes or withdraws access, functionality that depends on it may change or stop.

Suspension and termination

You may cancel at any time, effective at the end of your current billing period. We may suspend or terminate access for breach of these terms, non-payment, or where continued operation would put us or a connected platform at risk. On termination we delete your stored data as described in the privacy policy.

Liability

To the extent permitted by law, neither party is liable for indirect, incidental, or consequential damages, or for lost profits or lost business. Our total liability under these terms is limited to the fees you paid in the twelve months before the claim arose. Nothing here limits liability that cannot lawfully be limited.

Changes to these terms

We may update these terms. Material changes will be notified to you at least 30 days before they take effect, and continued use after that date means you accept them.

Governing law

These terms are governed by the laws of the State of Georgia, without regard to its conflict of laws rules. Each party consents to the exclusive jurisdiction of the state and federal courts located in Fayette County, Georgia for any dispute arising out of these terms.
